Jason was referred to second generation owner, Joe Verdi’s team in 2024 by a strategic planning business consultant they were using, after they expressed an urgent need to clean up and relaunch their digital process manual. Despite previous attempts at building it out using the right software and lots of ideas to document, only six percent of the company employees had logged into the software and only three of those employees had completed all of their assignments.

A-Verdi’s management team actively went through the entire 3-month Systems Success program, presented in-person and virtually by Jason. The missing component to their procedure manual’s success wasn’t a lack of positive attitude, work ethic, or their ability to weave fun into their daily lives, it was a proven structure. Every teammate was so busy helping ensure customer satisfaction that they were unable to do the foundational work required to get things started right.

The weekly meetings included employee surveys, a deep review/rewrite of job titles, roles, and responsibilities, as well as a more clear definition of how the training would get delivered. For businesses that operate with staff working in a lot of locations such as a mechanical shop, on the road, or other place where consistent face-to-face supervisor input is missing, you have to get creative with your message.  No matter the job type, Jason can provide a real-life solution that will get everyone engaged and collaborating to document and improve processes.

Joe set clear goals for the documentation team to focus first on the office where most of the documentation to date had occurred.  Part of the reset was to organize the existing operating procedures in a logical manner, with well-thought-out titles and allocation to the right employees. Then the shop staff started to get involved by helping to record live videos and approve training methods for work such as plasma cutting steel and welding containers.  His staff took pride in being a subject matter expert and sharing knowledge they had acquired over their careers.  You see, this is one of the value-add moments during a comprehensive program like Systems Success. Yes, the goal is to secure and share knowledge, but the process for documenting processes gets all of your company’s talent involved and culture starts to shift.

In 2026 the rest of the team, which mainly consists of their skilled container delivery staff, aka “The Transportation Titans”, will be added to the program and the momentum will pick up even further.  Speaking of engagement, fast-forward only one year from the start of their program and 76% of the team is now actively engaged in Trainual, helping to improve the company. Of the over 80 staff that log in regularly, 91% have completed all of their assigned training and improvements are made on a regular basis. That is success.

Joe Verdi Discusses Their Current Strategy

This year we're doubling down on working to increase productivity so that we in turn increase value for our business and for our customers. We want to do this through streamlining even more of our processes in the shop and office. It's a really great time to look at all of the things that run our daily operations and figure out how to make them better by documenting more of our “how to”.

We've got new things that need to get added and others that need to be updated but overall, we're gaining traction from our initial documentation work, and I'm impressed because the mindset has started to really change. When people come in and ask a question, we can now reply: “Okay, well, did you look in Trainual first?” Then we can follow up with a deeper dialogue and ask: “Is the answer there?”  Maybe yes, maybe no, but once they get the information they need, they can get back to work and make our customers happy. The day doesn't have to stop as much as it used to.

This year we also don’t want to let the documentation go on idle and think: “Hey, we built it, we're good.” We want to make it better. When we do find that training has not been documented yet, we also ask: “Is your job being impeded or is a customer not being served?” If they don’t need an immediate answer right now, then they use the built in notes feature in Trainual and then we have a more in-depth conversation later with the supervisor. We strive for continuous improvement.

We also want to double down on the usage. It’s an investment in time and funds so we want to get everybody that we've got in there, using it the right way, not just for onboarding. I want to take our current, experienced staff and get them really dialed up, so they know that it's a resource they can use too.

Sustaining Your Systems

After completing the initial 3-month program with Jason, Joe signed the team up for a quarterly check-in series, where they get consistent feedback from Jason on the new work being added, and advanced training on how to further integrate their training.  A procedure manual is a living document, meant to be refined forever.  As new staff come on, they bring fresh ideas and tenured workers come up with new ways to save time and money.  The key is capturing each of those little changes so that everyone can learn and personally grow.

Keeping your team accountable and energized with a subject like process documentation often takes a specialist to really get traction.  In Jason’s case, he has focused his career on only this type of work and has the added benefits of refining his methods across many types of industries.  As a well-read business consultant, he is unique in that he gets in the weeds and does the work alongside your staff.  The foundational work gets done faster and your employees get the benefit of seeing the methods in action so that everyone can continue exceeding your customer’s needs.

“Jason has been a great help. He has been instrumental in getting our training rocking and rolling again and helping us get our processes back in shape. I appreciate it.”
